The Platform Behind a Clear Title Search

Attorneys do not buy technology, they buy a defensible answer before a deadline. Everything below exists to make that answer arrive sooner and survive the scrutiny it is going to get.

Why a records answer used to take a week

County records are not a system. They are thousands of separate offices, each with its own indexing conventions and its own digitization cutoff. Searching every county a party has lived or done business in was, for most of the history of this work, a project rather than an order.

We kept the certified abstractors and rebuilt everything around them. The searching, reading, and cross-checking now run at machine speed while judgment stays with people. The stack is documented across the AFX technology platform, shared by every AFX property including this one.

Your firm adopts none of it. You place an order and a report comes back, faster than it used to and checked harder than it used to be.

What the platform does

  • Matter-based ordering: Searches grouped by matter rather than by order number, so a case that runs three years keeps its research together and a paralegal can order without going through the attorney. Learn more about Matter-based ordering
  • Reports for the client file: The document that reaches a client or an opposing party carries your firm identity, not a vendor logo, with separate templates where a quick check and a full chain should differ. Learn more about Reports for the client file
  • AI-assisted document reading: Language models read recorded instruments at volume, which is what makes searching every county a party has touched a routine order rather than a special project. Learn more about AI-assisted document reading
  • Error correction and classification: A confident match to the wrong person is worse than no match. Records are tested against the parcel and the party, and anything ambiguous reaches a researcher before it reaches you. Learn more about Error correction and classification
  • API ordering: Firms running research at volume submit from their own case management system with token-based authentication and a sandbox, instead of keying matters twice. Learn more about API ordering
  • Status without chasing: Outbound events update your matter record as research progresses, so nobody calls to ask where a search is the week before a filing deadline. Learn more about Status without chasing

From order to file

How a search moves through a matter

  1. Step 1

    Matter opened

You name the party and the county

A party name and a jurisdiction starts a search. An address or parcel number narrows it, but neither is required to begin.

  2. Step 2

    Assigned locally

    A county abstractor takes it

The order routes to a researcher who works that county and knows how its indexes actually behave.

  3. Step 3

    Cross-checked

    Findings get tested

Every candidate record is checked against the parcel and the party, so a same-name stranger never becomes an assertion in your file.

  4. Step 4

    Delivered

The report lands in the matter

A filing-ready document arrives in the portal under the matter, with the recorded instruments attached.

Everything lives in the order management portal, grouped by matter, with the archive still reachable years later when enforcement or a modification brings the same property back.

Practices running enough volume to justify it connect their case management system directly through the REST API and take progress through webhook events, so a matter record updates itself instead of a paralegal calling to ask.

A document that looks like your firm produced it

Research that reaches a client, an opposing party, or a court is read before it is evaluated, and a vendor logo on the cover invites a question you would rather not answer. White-label report templating puts your name, colors, and disclaimers on it. Setup is a logo file and a short conversation about formatting.

The right party, not just the right name

The expensive error in this work is not a missed record. It is a confident match to a stranger who shares your party’s name. An asserted interest that turns out to belong to someone else damages a matter in a way a slower search never would, so our error correction and classification algorithms test every candidate against the parcel and the party and escalate anything ambiguous.

Upstream, language models read the instruments themselves, pulling vesting and conveyance detail out of thousands of recorded documents a day. A certified researcher reviews what they surface. What none of it does is form a legal conclusion, which stays where it belongs.

Questions from law practices

Can our whole practice order against one account?

Yes. The portal supports multiple users on a single account with searches filed under their matter, so paralegals and support staff can place and track orders while the archive stays organized around the case rather than around who happened to order what.

Will the report work as an exhibit?

Reports are produced as filing-ready documents with the underlying recorded instruments attached, which is what makes them usable in a filing rather than merely informative. Report generation is also brandable, so the document carries your firm identity instead of a vendor logo.

How do you avoid matching the wrong person?

By testing candidate records against the parcel and the party rather than against the name alone. Common names are the recurring hazard in this work, and our error correction and classification algorithms escalate anything ambiguous to a researcher instead of asserting it. A false positive in a contested matter costs more than a slower search.

Can we connect this to our case management system?

Yes, for firms running enough volume to justify it. A REST API accepts orders programmatically and webhook events push status back as research progresses, so a matter record stays current without anyone chasing it. Authentication is token based and most teams integrate inside a day.

Is a title search a legal opinion on who holds title?

No. It reports what the county records show of record, with the instruments attached, which is the evidence an opinion is built from. Determining who holds title today, and what a given encumbrance means for your client, is the attorney’s work. Our reports are built to be what that work starts from.
